Invoicing software is the clearest case of a single function sold as a business.

For most sole traders the honest answer is "chase people", and that is the part the subscriptions do worst.

When invoicing software earns its money

Two cases. If you are VAT registered and need Making Tax Digital VAT returns filed from the same ledger, Xero or FreshBooks at £16 a month is cheaper than the mistake. If you have staff, stock, or an accountant who works in a particular package, use that package. Everyone else, which is most of the 4.2 million self-employed, is paying for a client cap and a logo on a PDF.

The cost of chasing: what late payment does to a one-person business

The subscription is £16 a month. The thing it does not fix costs far more. The Department for Business and Trade and the Small Business Commissioner estimate that £26 billion is owed to UK businesses in late payments at any one time, about £17,000 for each business affected, and the government's March 2026 late-payment consultation found small business owners spend an average of 86 hours a year chasing money they are owed. The Federation of Small Businesses has long linked late payment to around 50,000 business closures a year.

For a one-person business the arithmetic is personal. Eighty-six hours at a £45 hourly rate is £3,870 of billable time spent writing reminder emails, or, more often, not writing them and waiting. The fix is not a prettier invoice. It is a reminder on day 7 that goes out whether or not you feel like sending it, a firmer one on day 14, a statement on day 21 with the statutory interest calculated, and a record of every step if it ever goes further. That is a schedule, not software, and it is the part the agent does best.
