25 Gemini Tips and Tricks for 2026: Free Features Most People Never Use

25 Gemini tips and tricks for 2026, most of them free: Deep Research on your own inbox, the @ shortcut for Gmail and Drive, Skills that replaced Gems, Canvas, voice, the 50-page limit nobody mentions, and the privacy settings to change before you paste anything from work.

25 Gemini Tips and Tricks for 2026: Free Features Most People Never Use
Read in:

Most people use Gemini like a search box with better manners. They type a question, read the answer and close the tab, and never find out that the same free app will read their inbox, write a sourced report, build a slide deck or run a saved routine on one word. Google keeps adding features faster than it explains them: six arrived between May and September 2026 alone.

These Gemini tips and tricks are the ones that change how much work the app takes off your desk. Nearly all of them work on the free plan. Each tip says which plan it needs, and every feature was checked against Google's own help pages and release notes on 4 October 2026.

Want Gemini's models and an agent that finishes the whole job? Jobbit lets you pick Gemini, Claude or GPT models per task and returns the finished document, site or spreadsheet: 100 free credits a day, no card.

How we checked these tips

  1. Google's own pages. Features, limits and plan details come from the Gemini help centre, the subscriptions page and the release notes, read on 4 October 2026.
  2. Plans named for every tip. Free means no Google AI subscription. Plus is Google AI Plus at £4.49 a month, Pro is £18.99.
  3. No tricks that need luck. Nothing here depends on a secret prompt. Every tip is a feature Google documents.

Research tips: get a report, not ten tabs

1 to 3. Deep Research, on the web and on your own files

Deep Research is the most valuable free feature in the app. Select it in the prompt bar, describe what you need, and Gemini writes a research plan, reads hundreds of pages and returns a multi-page report with its sources. It is free, with limits, in 150 countries.

The part most people miss is that it can also read your own material. Give it permission and it will draw on your Gmail, Drive and uploaded files, so "summarise everything we agreed with this client since March" becomes one request. When the report is done, export it to Google Docs or turn it into an Audio Overview and listen to it instead. For bigger projects, the guide to running deep research with AI shows how to brief it properly.

4 to 6. The @ shortcut

Type @ in the prompt box and Gemini offers your connected apps: Gmail, Drive, Calendar, Docs, Keep, Tasks, Maps and YouTube. Tagging one tells Gemini exactly where to look.

  • @Gmail: "Find the email where the landlord confirmed the rent and tell me the date."
  • @Drive: "Which of my spreadsheets has the 2025 price list?"
  • @Calendar: "What have I got on Thursday, and where is the gap for a two-hour job?"
  • YouTube: paste a link and ask for the main points and the timestamps.

You switch the connections on once, under Settings, in the Connected Apps section.

Shortcuts that save typing

7 and 8. Skills, the feature that replaced Gems

On 30 September 2026 Google introduced Skills: saved sets of instructions that tell Gemini how to handle a task you repeat. They replace Gems, and existing Gems are moved across automatically. Skills are available on free and paid plans.

A Skill is your best prompt, saved. Write one for "turn my notes into a quote in my usual format" or "reply to a complaint in my tone, under 120 words", and from then on a matching request runs it without the preamble. You can build a Skill from a chat that went well, and stack several for a larger job. The guide to writing prompts has 30 examples worth saving.

9 to 11. Canvas

Canvas opens your draft beside the chat, so you edit the document instead of asking for a new version each time. Highlight one paragraph and ask for it shorter. Change a heading by hand. It also runs code, which means you can ask for a working mortgage calculator, a quiz or a simple web page and try it on the spot. Canvas and slide generation are both on the free plan, so a report can become a deck without leaving the app.

12 to 14. Voice and keyboard shortcuts

Gemini Live is a spoken conversation you can interrupt, which suits thinking out loud in the van. On a Windows PC, the desktop app released in September 2026 opens with Alt and Space from anywhere. On a Mac, holding the Fn key lets you dictate into whatever window you are in. All three are free.

Files, limits and the 50-page problem

15 and 16. Upload files, and know where the free plan stops

You can upload PDFs, documents and spreadsheets and ask questions about them. What Google does not put on the front page is the size of the window Gemini reads through. The free plan has a context window of 32,000 tokens, which Google describes as about 50 pages. Past that, a long document is cut short and the answer is based on part of it.

Google AI Plus raises the window to 128,000 tokens. Pro and Ultra raise it to 1 million, enough for about 1,500 pages. If you are on the free plan, split a long file into sections and ask about each one. Usage limits on every plan refresh every five hours until a weekly cap is reached, so a heavy morning can mean a quiet afternoon. Our ranking of AI chat plans by message limits covers 18 of them.

Privacy settings to change first

17 and 18. Temporary chat and auto-delete

By default Google keeps your Gemini activity for 18 months, and a subset of chats is read by human reviewers to improve the service. Google's own privacy page says not to enter confidential information you would not want a reviewer to see.

Two settings help. A temporary chat is not used to train Google's models and is kept for 72 hours only. And in your activity settings you can shorten auto-delete from 18 months to 3, or switch the Keep activity setting off. Do both before you paste anything from work. The plain-English guide to AI safety lists seven things never to paste into any assistant.

Better answers

19. The four-part prompt

Google's own guidance for writing instructions has four parts, and it works in an ordinary chat too:

  • Persona: who Gemini should be. "You are a bookkeeper for UK sole traders."
  • Task: what you want. "Sort these expenses into categories."
  • Context: what it needs to know. "I am not VAT registered and I work from home two days a week."
  • Format: how you want it back. "A table with date, supplier, amount and category."

A prompt with all four gets a usable answer first time far more often than a one-line question.

20 to 23. Learn, quiz, edit, find

  • Quizzes. Upload a staff handbook or a supplier manual and ask for a ten-question quiz. Useful for training a new starter.
  • Guided Learning. Instead of an answer, Gemini walks you through a topic step by step and checks you have understood.
  • Image editing. Upload a product photo and describe the change: plain background, brighter, square crop.
  • Chat search. Search past conversations by keyword instead of asking the same question twice.

The two tips worth £4.49

24 and 25. Scheduled actions and Gemini inside Gmail

Scheduled actions run a task at a time you set: a Monday summary of unread client emails, a Friday list of next week's appointments. They need Google AI Plus or above. The same plan puts Gemini inside Gmail and Docs, where it drafts replies and summarises long threads without copying anything across. At £4.49 a month with 400 GB of storage, it is the cheapest paid AI plan from any of the big three.

When tips are not enough

Gemini, ChatGPT, Claude, Microsoft Copilot, Manus and Meta's Muse all reward the same habits: clear instructions, saved routines, the right settings. What an assistant will not do is carry a job from start to finish across several tools. That is the difference between a chatbot and an agent.

  • Hand over the whole task. On Jobbit you describe the result, such as a price list as a PDF or a booking page for the salon, and the agent delivers the finished thing.
  • Choose the model per job. Gemini for long reports, Claude for careful writing, GPT for spreadsheets, in one chat.
  • Start free. 100 credits a day with no card. Paid plans begin with Go at £7 a month.

If you use other assistants too, the same approach applies: see the 25 ChatGPT tips and the 20 AI Excel tips.

Frequently asked questions

What can Gemini do for free?

More than most people use. The free plan includes Deep Research, Canvas, Skills, Gemini Live voice chat, connected apps such as Gmail and Drive, quizzes, slide generation and image generation. Its main limit is a context window of about 50 pages.

What are Gemini Skills, and what happened to Gems?

Skills are saved sets of instructions that Gemini runs when a matching request appears. Google introduced them on 30 September 2026 as the replacement for Gems, and existing Gems are migrated automatically.

Is Gemini safe to use for work?

Use a temporary chat for anything sensitive, shorten auto-delete to 3 months, and never paste confidential information: Google says a subset of chats is read by human reviewers. Business plans of Google Workspace have separate data terms.

How long a document can Gemini read?

About 50 pages on the free plan, more on Google AI Plus, and about 1,500 pages on Pro and Ultra. Split longer files or upgrade if answers seem to ignore the end of a document.

Is Google AI Plus worth £4.49 a month?

If you use Gmail and Docs every day, yes: it doubles the free limits and adds Gemini inside both apps, scheduled actions and 400 GB of storage. If you want one tool that uses Gemini, Claude and GPT models and finishes whole tasks, try Jobbit free first.
