The customer pays cash for the garden clearance and asks, "Can I have a receipt?" You have a van, a phone and no receipt book. Or the stall sale is done, the customer wants proof for a warranty claim, and the card machine's paper roll ran out an hour ago. Or a client paid an invoice by bank transfer and their bookkeeper now wants a receipt for the file. None of these need software or a stationer. They need a piece of paper, or a PDF, that says six things.

Knowing how to write a receipt is a ten-minute skill that protects both sides: the customer has proof of purchase, and you have the record HMRC expects you to keep. This guide gives the six things a receipt must show, the difference between a receipt and an invoice, the VAT cases where the rules get stricter, the record-keeping dates for 2026, a template you can copy, and the free way to get a numbered PDF receipt from one sentence on Jobbit.

Need a receipt right now? Open the free invoice generator, fill in who it is for, the job and the amount, and ask in the chat for it as a paid receipt. You get a numbered PDF and an editable copy, free, no card.

Receipt or invoice: the difference that decides what you write

GOV.UK's guidance on invoicing puts it in one line: an invoice is not the same as a receipt, which is an acknowledgement of payment. An invoice asks for money and shows what is owed and by when. A receipt confirms money has been received and shows what was paid, when and how. For a job paid on the spot, you only need a receipt. For a job paid later, you send an invoice and, if the customer asks, a receipt once it is paid. Many small businesses do both with one document: the invoice, stamped or marked "PAID" with the date and method.

GOV.UK also says an invoice is required by law only when both you and your customer are VAT registered. For everyone else, invoices and receipts are a matter of good practice and of keeping the records HMRC requires, which is why the format matters less than the content.

The 6 things every receipt must show

What to includeWhyExample
Your business name and contact detailsIdentifies who was paid; needed for any warranty or complaint"J. Carter Gardening, 07700 900123, Leeds"
Date of paymentFixes the tax year and the start of any guarantee period"15 October 2026"
What was paid forProof of what the money covered"Garden clearance, rear garden, including waste removal"
Amount paid, in poundsThe figure both sides' records must match"£180.00"
Payment methodSeparates cash from bank transfer in your records, and shows the customer paid in full"Paid in cash, in full"
A receipt numberTies the receipt to your sales record and to the invoice, if there was one"Receipt 2026-041, invoice 2026-041"

Three optional lines make a receipt more useful: your address, a note of any balance still due ("£50 deposit paid, £430 due on completion"), and the customer's name if it is a trade customer who will put it through their books. If you are VAT registered, the section below applies and the list gets longer.

A receipt template you can copy

Paste this into a note on your phone, fill in the brackets, and send it as a message or print it. The agent version below produces the same thing as a numbered PDF.

For a cash job, hand one copy over and keep one. A photo of the paper copy, or the PDF, is the record you keep.

Get a numbered receipt on Jobbit in one message

The Jobbit invoice generator is a short form: who it is for, what it is for, the amount, VAT or not, and the payment terms. It shows the message it will send to the agent; sign up with an email address (no card) and the document comes back as a PDF and an editable DOCX in a chat. Choose "On receipt" as the due date and then ask for the paid version, or say so from the start.

Message to send

Create a receipt for a cash customer for Garden clearance, rear garden, including waste removal, 180 GBP, paid in full in cash today. No VAT, I am not VAT registered. Use a clean layout with a receipt number and today's date, a line for the item, the total, the payment method and "Paid in full". Leave clearly marked placeholders for my business name, address and phone, then give me the receipt as a PDF and as an editable DOCX.

You create a free account first (an email address is all it takes, no card). Your message is kept and sent the moment you are in.

The chat keeps your details for the next one, so the second receipt is one line: "same as the last receipt, £95 for a hedge trim, paid by bank transfer". It can also keep a running numbered log of every receipt it issues, which is the sales record HMRC wants.

If you are VAT registered, the receipt becomes a VAT invoice

VAT Notice 700/21 sets the rules. You must issue a VAT invoice for standard-rated or reduced-rated supplies to another VAT-registered customer, normally within 30 days of the supply. You do not have to issue one for retail sales to customers who are not VAT registered unless they ask. For sales of £250 or less including VAT, a simplified VAT invoice is enough, and this is what most VAT-registered shops and cafes hand over as the receipt. It must show your name, address and VAT number, the time of supply, a description of the goods or services, the total payable including VAT for each VAT rate, and the VAT rate. Above £250, a customer who asks for a VAT invoice must get the full version with the unique sequential number, the customer's name and address, the amounts excluding VAT per line, and the total VAT in sterling. VAT records must be kept for 6 years.

The practical consequence: if you are VAT registered, make the receipt a simplified VAT invoice by default. The invoice tool adds the VAT line and your VAT number when you choose "Add VAT on top" or "Amount includes VAT".

Cash jobs: what HMRC expects

Cash is legal and common in trades, cleaning, tutoring and market stalls. What HMRC expects is that every cash sale goes into your records like any other. GOV.UK's page on business records for the self-employed says you must keep records of all sales and income, all business expenses, and the evidence behind them, which for a cash trade means the receipts you issue, a sales book or a spreadsheet, and till rolls if you have a till. The records must be kept for at least 5 years after the 31 January submission deadline of the relevant tax year. A receipt numbered in sequence is the easiest form of that record, because a gap in the numbers is a question you can answer.

Two further rules apply. If you accept cash of 10,000 euros or more (or the equivalent) for goods, including in linked payments, you must register with HMRC as a high value dealer before you take the payment; this covers goods, not services. And if your gross trading income is above the £1,000 trading allowance, you must register for Self Assessment, by 5 October after the end of the tax year in which you started.

Making Tax Digital: what changes in 2026, 2027 and 2028

From 6 April 2026, sole traders and landlords with qualifying income over £50,000 in the 2024 to 2025 tax year must keep digital records in compatible software and send quarterly updates to HMRC. The threshold drops to £30,000 of 2025 to 2026 income from April 2027 and to £20,000 from April 2028. Qualifying income is gross self-employment plus property income before expenses. The quarterly updates are summaries, not individual receipts, but each sale must be in a digital record, which is a good reason to stop writing receipts on carbon pads this year. A numbered PDF receipt that the agent also logs in a spreadsheet is a digital record.

Consumers and tradespeople: when a receipt protects you

The Consumer Rights Act 2015 says every service must be performed with reasonable care and skill, and Citizens Advice notes that a claim usually needs proof of purchase, which is normally a receipt showing where and when the purchase was made. Trading Standards' Business Companion adds that the customer is not legally required to produce a receipt and can use a card statement instead, so the receipt is a convenience for them and a record for you. One more rule for anyone who sells at the customer's home: for contracts agreed away from your premises worth over £42, the Consumer Contracts Regulations require a copy or confirmation of the contract on paper or another durable medium, with an exception for urgent repairs the customer asked for. A receipt that describes the work covers much of that in one document.

How an AI agent helps beyond the receipt

ChatGPT, Claude, Gemini, Microsoft Copilot, Manus and Meta's Muse will all draft a receipt. On Jobbit the same chat produces the files, keeps the numbering and does the next job without a second app.

  • Numbered receipts and invoices as PDF and DOCX, with your details remembered, as in the invoice guide.
  • A sales log that updates with every receipt: date, customer, amount, method. That is your HMRC record and your Making Tax Digital starting point.
  • VAT handling when you register: simplified VAT invoices for small sales, full ones above £250.
  • Reminders and chasing for invoiced work, so the receipt comes after the money does.
  • A booking page or price list on your own domain for a trade or a stall, on the Go plan at £7 a month.
  • Quotes and deposits with the balance due shown on the receipt, which stops the "I thought that was everything" conversation.

Tradespeople and freelancers who want paid work as well as the paperwork can also set up a Jobbit Pro profile: free to create, 300 bonus credits on sign-up plus 100 a day, a website once the profile is complete, no fee until a paid job completes, and payment held in escrow before work starts.

A 15-minute plan for your first proper receipt

  • Minutes 0 to 5. Open the invoice generator, fill in the customer, the job and the amount, choose no VAT or your VAT setting, and ask for it as a paid receipt. Download the PDF.
  • Minutes 5 to 8. Tell the agent your business name, address, phone and the receipt number to start from, so the placeholders are filled next time.
  • Minutes 8 to 12. Ask for a sales log spreadsheet with the receipt already in it, and a column for payment method.
  • Minutes 12 to 15. Send the receipt to the customer by message or email, and put the number on your copy of the quote.

Frequently asked questions

What should a receipt include in the UK?

Your business name and contact details, the date of payment, what was paid for, the amount in pounds, the payment method and a receipt number. Add your VAT number and the VAT breakdown if you are VAT registered. The Jobbit invoice generator produces a numbered PDF with all of these from one short form.

Do I legally have to give a receipt?

There is no general legal duty to issue a receipt for a sale to a consumer, and Trading Standards guidance says the customer can prove a purchase with a card statement instead. You must issue a VAT invoice when you and the customer are both VAT registered. Giving a receipt is still the normal practice, and the copy you keep is part of the sales record HMRC requires.

What is the difference between a receipt and an invoice?

An invoice is a request for payment showing what is owed and when; a receipt is an acknowledgement that payment has been received, showing the amount, date and method. GOV.UK draws the same line. An invoice marked "Paid in full" with the date and method works as a receipt.

Can I write a receipt for a cash payment?

Yes, and you should. Include the same six items, state "paid in cash", number it, and keep a copy, because HMRC requires records of all sales and income for at least 5 years after the 31 January deadline of the tax year. If you accept 10,000 euros or more in cash for goods, you must first register with HMRC as a high value dealer.

Does a receipt need to show VAT?

Only if you are VAT registered. For sales of £250 or less including VAT, a simplified VAT invoice showing your VAT number, the date, a description, the total including VAT and the VAT rate is enough. Above £250 a customer who asks must get a full VAT invoice. Non-registered businesses do not add VAT and should not show a VAT line.

How long do I keep receipts for HMRC?

Self-employed records, including copies of receipts you issue and receipts for your expenses, must be kept for at least 5 years after the 31 January submission deadline of the relevant tax year. VAT records must be kept for 6 years. A PDF receipt and a spreadsheet log meet both requirements and are ready for Making Tax Digital.

How do I make a receipt template for free?

Copy the template in this guide, or let the agent make one: on the Jobbit invoice generator fill in the job and the amount, ask for it as a paid receipt, and keep the DOCX as your template with your details filled in. Freelancers and tradespeople who also want the jobs can create a free Jobbit Pro profile with 300 bonus credits on sign-up.
