Best AI Learning Tools for Upskilling Your Team in 2026: 25 Picks
Best AI learning tools for a small team in 2026, prices checked today: free micro-courses, quiz makers, AI tutors, language apps, a free LMS and UK funding.

The best AI learning tools for a small team are mostly free: Google's ten-minute AI Boost Bites, Microsoft Learn, OpenLearn, ChatGPT's study mode and Gemini's Guided Learning cost nothing, TalentLMS runs a course platform free for five people, and Anki does spaced repetition for free. The paid tier that earns its place is Coursera Teams at £301.48 a user a year. This guide lists 25 tools, priced on 3 November 2026, and the open UK funding routes.
The gap is real and it is in small firms. A government-commissioned survey of 801 employers, almost all micro and small, published in January 2026, found 31% using AI and only 11% had put staff through any AI training in the previous year. The Open University's 2026 Business Barometer, 1,500 business leaders surveyed in spring 2026, found 57% reporting skills shortages. The government even tried to pay for the training: its Flexible AI Upskilling Fund offered £7.4 million in matched grants in 2024 and awarded £381,096, because most firms never heard of it. AI learning tools for upskilling your team have to fit into the hour a week a three-person business can actually spare, which rules out most of what is sold as corporate learning.
Below: how we judged, the 25 tools in one table, then micro-courses, quiz and flashcard makers, AI tutors, language apps, the tools for internal training and grading, the UK funding routes with their real conditions, what the research says about how people remember, and the hour-a-week plan an agent can run.

How we judged
- Prices from the vendor's own page on 3 November 2026, in the currency shown; app-store prices are marked as such. Where a vendor hides its price behind a sales call we say so rather than quote a third party.
- Staff and owners, not students. Every tool is judged on whether an owner plus two staff can use it in under an hour a week with a team or work plan. The student guide is a different list.
- Free before paid. The free route is named first in every section.
- Evidence on memory from peer-reviewed work, not vendor claims.
- Funding only where it is open today, with the eligibility rule that trips small firms up.

Two more that are real but wrong for three people: Trainual says it suits firms of 25 to 1,000 and charges a $1,000 implementation fee; Docebo is priced per active learner on a custom contract.
Micro-courses: the free hour
Google's Grow with Google UK page lists AI Boost Bites, ten-minute videos with challenges, and an introduction to agents, both free; its paid AI Essentials certificate runs through Coursera at $49 a month after a seven-day trial. Microsoft Learn is free and sliced into 15-minute modules, though the AI learning paths we opened assume a developer with some Python, so an owner on Microsoft 365 should search for Copilot modules specifically. OpenLearn, the Open University's free site, has hundreds of one-to-twelve-hour courses with free badges, strong on business and digital basics and thin on AI.
Coursera Teams is the one paid course platform with a price a three-person firm can read: £301.48 a user a year on annual billing, from two seats, with Google's and IBM's AI certificates and an admin view that shows who finished. For three people that is about £900 a year, and the certificates only get finished when the hour is in the calendar. LinkedIn Learning, Udemy Business, FutureLearn and Skillshare all exist and all hid their business prices from us on the day, behind sales forms, errors or promotions, so treat any figure you read elsewhere as unconfirmed.
Quiz and flashcard makers: where the remembering happens
Anki is free on desktop and Android and £24.99 once on the iPhone, with the strongest spaced-repetition engine there is and the ugliest interface; an owner who wants to remember a new tool's shortcuts or a supplier's product codes will not find better. Brainscape does confidence-rated spaced repetition free, with Pro at $7.99 a month. Quizlet is quicker to set up and built for students, with Plus listed at about £45 a year on the UK App Store and no real team admin. Kahoot! 360 runs a live quiz in a Friday huddle, free for sessions of 15 minutes and 15 players, which is exactly a three-person firm, with the work plans from $9 a month per presenter on annual billing.
AI tutors: the patient colleague
ChatGPT's study mode, launched in July 2025, is available on every plan including Free and walks a learner through a topic with questions rather than answers, and OpenAI's own help page says it can still give direct answers and make mistakes. Claude's learning style, launched for education in April 2025 and extended to everyone that August, has since moved from a toggle to a skill, so check inside the app; Claude's Pro plan is $17 a month on annual billing and Team seats $20. Gemini's Guided Learning, free since August 2025, builds study guides from your own documents, which makes it the right tutor for a staff member learning your procedures rather than a textbook. Khanmigo is $4 a month, aimed at students, and priced in dollars.
The trick with all four is the prompt: "teach me this, ask me questions, do not give me the answer until I have tried" turns a chatbot into a tutor.
Language apps: for the staff member who talks to customers
Duolingo is free and builds the five-minute habit, with Super listed around £60 a year on the UK App Store, and is weak on business vocabulary. Babbel teaches by dialogue, £89.99 for 12 months of all languages on the App Store listing, with promotional prices that change by the week. Speak gives spoken practice with an AI partner, £59.99 a year for Premium on the UK listing, and is the one to pick for someone who must speak to customers rather than read to them. Busuu runs a business offering by demo only, so we could not price it. For a niche example of what one founder can build, Learn Farsi Online is a solo-built Persian course with spaced repetition, free on the web.
Internal training: the tools you already have
Notion holds the "how we do things" page, free for one person and £8.50 a member a month on the UK pricing page. Loom records the five-minute walkthrough once, free for 25 videos, so the new starter watches it instead of asking. TalentLMS is a proper learning platform, free for up to five users and ten courses with no time limit: upload the video, add a quiz, see who passed. Google Forms makes a five-question quiz with an answer key and automatic scoring, included with a Google account. Easy Grader Calculator, a free browser tool, turns a score out of twelve into a percentage in a second. For grading written answers, CoGrader gives 150 free submissions a month but is built for US schools and essays, so use it as the example of what is coming rather than the tool.
The UK funding routes, with the catch in each
- Skills Bootcamps. Up to 16 weeks, learners 19 and over. An employer with fewer than 250 staff pays 10% of the cost for an existing employee; under the East Midlands 2026 rules the self-employed and non-employee directors are fully funded. The catch: these are job-outcome courses run by region, not an hour a week.
- Growth and Skills Levy. Live in 2026 and still in beta. From 1 August 2026 employers pay no co-investment for apprentices under 25 and 25% for over-25s, and short "apprenticeship units" of 30 to 140 hours over up to 16 weeks are arriving, with AI leadership among the first.
- Help to Grow: Management. £750 for a 12-week programme, 90% government funded, for firms with 5 to 249 employees, which means a three-person business is below the floor. It is management training, not AI.
- Levy transfers. A large employer can transfer up to 50% of its levy funds to a smaller one, covering the whole apprenticeship. Useful only if you have a big customer to ask.
- Closed. The Flexible AI Upskilling Fund took applications until August 2024 and awarded £381,096 of its £7.4 million. Google's Digital Garage address now forwards to Grow with Google.
What the research says about remembering
Two findings decide how the hour a week should be spent. Cepeda and colleagues' 2006 review of 839 assessments across 317 experiments found that spacing study out beats cramming, and that the ideal gap grows with how long you need to remember. Roediger and Karpicke, the same year, found that taking a recall test after studying produced far better retention a week later than re-reading, even though the re-readers felt more confident. Both were lab studies with students and word lists, so they show the direction, not the exact effect for staff learning a new booking system. The direction is enough: short sessions, spaced across weeks, ending in a quiz, which is why the free flashcard tools above beat the expensive video libraries.
How an AI agent runs the hour a week
- Builds the course from your own material. Give it the procedures, the supplier catalogue and the booking tool's help pages and it writes the lessons, with Jobbit's generate feature turning them into a page the team can open.
- Writes the Friday quiz. Five questions on this week's lesson, scored, with the two people who missed one getting the lesson again next week, which is the spacing the research wants.
- Makes the flashcards. From the quiz misses, into Anki or Brainscape format.
- Schedules the hour. The calendar block, the reminder, the lesson link, every week.
- Tracks who has done what, without a learning platform, in a sheet.
ChatGPT, Claude, Gemini, Microsoft Copilot, Manus and Meta's Muse will all tutor one person who asks. What they do not do is run the programme for three people over three months, or bring in a human trainer from the network when the topic needs one. That is what Jobbit is for.
The first month
- Week 1: pick one topic for all three of you, such as using the agent in the business, and do Google's AI Boost Bites in the hour.
- Week 2: write five questions from week one in a Google Form and sit it. Then set up TalentLMS free or a Notion page.
- Week 3: each person picks one tool to learn properly and uses ChatGPT study mode or Gemini Guided Learning on it.
- Week 4: hand the quiz and the schedule to the agent and decide whether Coursera Teams is worth £900 a year for the certificates.

Frequently asked questions
What are the best AI learning tools for a small business?
Free ones first: Google's AI Boost Bites, Microsoft Learn, OpenLearn, ChatGPT study mode and Gemini Guided Learning for lessons and tutoring, Anki or Brainscape for remembering, Kahoot! for a live quiz, and TalentLMS free for up to five users to hold it all. The one paid platform with a readable small-team price is Coursera Teams at £301.48 a user a year.
How can a small business train staff in AI for free?
Set an hour a week, use Google's free AI Boost Bites or Microsoft Learn for the lesson, sit a five-question Google Forms quiz afterwards, and put the misses into Anki. Only 11% of the 801 mostly small employers in a government survey published in January 2026 had trained staff in AI in the previous year, so a firm that does this is ahead of nine in ten.
Is there government funding for AI training in small businesses?
Not as a grant: the Flexible AI Upskilling Fund closed in August 2024 having awarded £381,096 of £7.4 million. What is open: Skills Bootcamps, where an employer with under 250 staff pays 10% for an existing employee and the self-employed are fully funded in regions such as the East Midlands; the Growth and Skills Levy's short apprenticeship units; and Help to Grow: Management at £750, which needs at least five employees.
Does spaced repetition really work?
Yes, in the research that exists. A 2006 review of 317 experiments found spaced study beats cramming, and a 2006 experiment found that testing yourself after studying produced far better recall a week later than re-reading. Both used students and verbal material, so apply the principle rather than the exact numbers: short sessions, spread out, ending in a quiz.
Which AI assistant is best for learning?
ChatGPT's study mode is free on every plan and asks questions rather than giving answers; Gemini's Guided Learning is free and builds study guides from your own files; Claude's learning style has moved from a toggle to a skill, with Pro at $17 a month on annual billing. All three make mistakes, so the quiz at the end of the hour still matters.
Can an AI agent build a training course for my team?
It can turn your procedures and your tools' help pages into lessons, write the weekly quiz, make the flashcards from the misses, schedule the hour and track who has done what. A Jobbit agent does that with 100 free credits a day and no card, and brings in a human trainer from the network when a topic needs one.
