40 Indie Tools Worth Trying Before the Big-Name Subscriptions
40 indie and open-source tools that replace Notion, Trello, Calendly, Typeform, HubSpot, Mailchimp, Canva, Loom, Figma, Intercom, Zapier and Xero, priced today.

Before paying for Notion, Trello, Calendly, Typeform, HubSpot, Mailchimp, Canva, Loom, Figma, Intercom, Zendesk, Zapier, QuickBooks, Xero, DocuSign, 1Password or Dropbox, there is a smaller tool that does the job you need for less, often for nothing. This guide pairs 19 subscriptions with 40 small-team or open-source alternatives, both prices read on 3 November 2026, with what the small one does better and the catch.
The subscription pile is real and measurable. Cledara's spend data, updated on 3 November 2026 from its customers' software payments, puts the median UK business at 33 paid tools and £75,000 a year, with software spend up 25% over the past twelve months. Zylo's 2026 index, drawn mostly from large companies, found only 54% of licences actually used in 2025, up from 47% the year before, which still leaves close to half of what is paid for sitting idle. Indie tools are not automatically cheaper; several below cost the same as the big name at the entry tier. The difference is a free tier that is actually usable, a one-off price instead of a seat count, or the data staying on your own machine.
Below: how we judged, the 40 pairings in one table by job, then plan, sell, make, support and admin with the detail on each, and the one-agent alternative to most of the pile.

How we judged
- Both prices from the vendor's own page on 3 November 2026, in the currency shown; where the big name shows a promotion we quote its regular price and note the promotion.
- "Indie" means what the page says. Only Tally, Crisp, DocuSeal and Screenity describe themselves as bootstrapped, self-funded or one person; the rest are small-team or open-source alternatives and called that.
- One job per pairing. The small tool is judged on the job most people pay the big name for, not on matching every feature.
- The catch stated. Self-hosting, user minimums, watermarks and missing features are in the table.
- No round-ups. Every entry was loaded and read; nothing is here on reputation alone.

Plan: notes, boards, tasks
Obsidian is the Notion alternative for one person: plain markdown files on your own disk, free without limits, with Sync at $4 a month on annual billing if you want it on your phone and an optional $50 a year commercial licence. AppFlowy is the closer copy, Notion-style docs and databases with a free personal tier capped at 100 MB and Pro at $12 a member on annual billing, which is above Notion's £8.50. For boards, Kanbanflow matches Trello's $5 but gives a free tier with no time limit plus timers and work-in-progress limits; PLANKA is a self-hosted board from a Bavarian company, free in the community edition and €36 a month for five users if they host it. Vikunja replaces Asana for a solo founder at €4 a month on its cloud, or free on your own server.
Sell: bookings, forms, CRM, email
Cal.com is free for one user with unlimited event types, which is the thing Calendly's free plan withholds; its team plans start at $12, above Calendly's $10. Zcal is free forever with unlimited links and $7 a user on annual Pro. SavvyCal costs the same as Calendly and sells better-looking links and meeting polls rather than a saving. Tally, which describes itself as "a small, independent team based in Europe, bootstrapped", gives unlimited forms and submissions free under fair use and Pro at $24 a month, below Typeform's $28 Basic; Fillout gives 1,000 free responses a month.
For a CRM, Twenty is open source, free to self-host and $9 a user on its cloud with unlimited seats, against HubSpot's regular $20 a seat and its free CRM for two users. EspoCRM is free to self-host and £11 a user on cloud with a three-user minimum. For email, Buttondown is free to 100 subscribers and prices features as add-ons; listmonk is free and open source if you run it and pay your own sender; Sendy is $69 once and sends through Amazon SES at $1.60 per 10,000; Mailcoach charges $9.99 a month for 2,000 emails and fractions of a cent after, by email rather than by contact, which is the Mailchimp model turned the right way up.
Make: design, recording, video
Pixlr, one of the small tools we are in contact with, edits photos and templates from €1.99 a month on annual billing against Canva Pro's $144 a year, and is a photo editor rather than a brand kit. Snappa makes social graphics for $10 a month on annual billing with a three-download free tier. For screen recording, Cap is open source with a free personal tier, Pro at $8.16 a month on annual billing and a $58 lifetime desktop licence; Screenity is a free Chrome extension "made by one person" with a $10 editor; Screen Studio is $9 a month on annual billing for Mac demo videos with automatic zooms; Tella is $13 a month with no free plan. Penpot is the free, fully featured Figma alternative with an Unlimited tier at $7 an editor capped at $175 a month for any team size. For cutting talking-head video, Gling strips silences for $10 a month on annual billing after a watermarked free hour, and TimeBolt sells a $347 lifetime licence.
Support: chat and help desk
Crisp, self-funded in Nantes with 29 people on its team page and "0% VCs onboard", is free for two agents and $45 a month for a workspace on Mini, with AI credits metered; against Intercom's regular $29 a seat plus $0.99 per resolved conversation, the flat workspace price wins once there are two of you. Chatwoot is free for two agents and 500 conversations, then $19 an agent with unlimited conversations, open source underneath. FreeScout is a free, open-source shared inbox you host yourself, against Zendesk's £15 an agent; its paid modules have no prices on the page we read, so the total depends on what you add.
Admin: automation, accounting, signatures, passwords, files
n8n, another tool we are in contact with, counts workflow executions rather than Zapier's per-step tasks, is free to self-host and €20 a month on annual billing for 2,500 executions on its cloud; Activepieces is free for 1,000 credits and $20 a month flat on Plus. Invoice Ninja, a third, is free for up to five clients with unlimited invoices and Zapier on every plan, then $14 a month, which covers a freelancer's invoicing against QuickBooks' regular $38 Simple Start; Akaunting includes an accountant seat on its $8 a month annual plan. Pandle is UK bookkeeping free forever with Pro at £5 a month plus VAT against Xero's £18 Ignite. Billy, the fourth tool from our list, is a Danish invoicing tool with a free tier for three invoices a month and is not a UK VAT tool, so it is here for readers with a Danish entity rather than as a Xero swap.
DocuSeal, bootstrapped by three co-founders, is free to self-host with no document cap and $20 a user on cloud Pro; Documenso is open source with five free documents a month, and its $25 individual plan costs more than DocuSign's £8 Personal, which is the honest comparison. KeePassXC is free, open source and keeps the password file local, which is the catch as well as the point; Padloc has a free tier and a 2022 footer, so check it is maintained. Filen stores 200 GiB for €1.99 a month with open-source apps from a German company, and Koofr gives 10 GB free and 1 TB for €10 a month, yearly billing only.
For the files themselves, DragBin offers secure cloud storage, file sharing and collaboration for individuals and businesses.
When the big name is still right
Notion for a team wiki, Figma for a client who sends Figma files, Xero for a limited company with payroll and VAT, 1Password for shared vaults across a team, Zapier for the connector that only Zapier has. The small tool wins when you are one person, when the data should stay yours, or when a one-off price beats a seat count. It loses when its catch is the feature you were paying for.
The one-agent alternative to most of the pile
Half of the 40 tools above exist because one task, forms, bookings, invoices, follow-ups, scheduling, lives in its own app with its own login and its own bill.
- Invoices and reminders from a message, with the statutory interest line when a client is late, instead of an invoicing app.
- Forms and booking pages built and hosted on your own domain, instead of a forms tool and a scheduler.
- The follow-up sequence written and sent on time, instead of a CRM with automations.
- The weekly automation that moves the data between the tools you keep, through Jobbit's automations, instead of a task-metered connector.
- The screen walkthrough written as a step-by-step page instead of recorded, searchable by the customer.
ChatGPT, Claude, Gemini, Microsoft Copilot, Manus and Meta's Muse will all suggest alternatives to any subscription. What they do not do is run the job on a schedule, host the form on your domain, or bring in a human from the network when the task needs one. That is what Jobbit is for.
Your first month
- Week 1: list every subscription and what it is actually used for. Cledara's median is 33; most small firms find a dozen.
- Week 2: swap the three cheapest wins. Usually forms to Tally, booking to Cal.com or Zcal, and a second notes app to nothing.
- Week 3: decide the self-host question once. If nobody will run a server, skip every self-hosted entry and pick the cloud tiers.
- Week 4: hand the recurring admin to the agent and cancel what it replaced.

Frequently asked questions
What are the best indie alternatives to Notion?
Obsidian for one person, free without limits with notes stored as files on your own machine and Sync at $4 a month on annual billing; AppFlowy for a Notion-style workspace with databases, free in a small personal tier and $12 a member a month on annual Pro. Notion's own Plus plan is £8.50 a member a month on its UK page, read on 3 November 2026.
Is there a free alternative to Typeform and Calendly?
Yes to both. Tally, a bootstrapped European team, gives unlimited forms and submissions free under fair use, with Pro at $24 a month against Typeform's $28 Basic. Cal.com is free for one user with unlimited event types, and Zcal is free forever with unlimited links; Calendly's free plan allows one event type.
What is a good cheap alternative to Zapier?
n8n counts workflow executions rather than per-step tasks, is free to self-host and €20 a month on annual billing for 2,500 executions on its cloud; Activepieces is free for 1,000 credits a month and $20 a month flat on Plus. Zapier's Pro plan is $19.99 a month on annual billing for 750 tasks.
Are open-source tools really free?
The licence is free; the server is not. listmonk, PLANKA, Vikunja, Twenty, EspoCRM, FreeScout, n8n, DocuSeal and Documenso all have free self-hosted editions that need someone to install, update and back them up. Each also sells a cloud tier for people who would rather not, and that tier is the fair price comparison.
Which small tools are actually bootstrapped or solo?
Of the 40, only four say so on their own pages: Tally (bootstrapped European team), Crisp (self-funded, 29 people, no VCs), DocuSeal (bootstrapped, three co-founders) and Screenity (made by one person). The rest are small-team or open-source projects whose pages do not state size or funding, so we do not call them solo.
Can an AI agent replace my SaaS subscriptions?
It replaces the ones that exist to do a single task: invoicing and reminders, forms and booking pages hosted on your domain, follow-up sequences and the weekly data move between the tools you keep. A Jobbit agent does that with 100 free credits a day and no card, and brings in a person from the network when the task needs one.
