Run Your Business From Your Phone: 25 Apps Worth It in 2026
Run your business from your phone in 2026: 25 apps for payments, invoicing, bookings, scanning, QR codes, notes, video, messaging and mileage, with UK fees.

A UK small business can be run from a phone with about ten apps: a card-payment app that makes the phone the terminal, a bank with free invoicing, an accounting app that reads receipts, a booking link, a scanner, a free QR code tool, a notes app, a teleprompter and editor for videos, WhatsApp Business and a mileage logger. This guide lists 25 with store ratings and UK fees read on 3 November 2026, and names two that no longer exist.
The phone already won. A 2024 Vodafone Business survey of 1,000 UK small business owners found 62% do most of their work on a mobile and 45% call WhatsApp their most important app, and UK Finance reports that 75% of UK adults used mobile banking in 2025. The gap is in the details that decide the bill: whether Tap to Pay costs 1.6% or 1.75%, whether the free plan allows three invoices or thirty, which scanner retired in March, and which "business messages" product Google switched off. Running your business from your phone is less about which apps exist than about which ones charge what, and we read the pages.
Below: how we judged, the fees for taking a card payment on a phone in one table, the 25 apps by job, the two that are gone, and the admin an agent can do on the phone so you do not have to.
Want the invoice sent, the booking confirmed and the receipt filed from one message on your phone? Give the job to a Jobbit agent, with 100 free credits a day and no card.
How we judged
- Store ratings read on 3 November 2026 from the UK App Store and Google Play; Apple's figures are for the UK storefront, Google's are the rounded figures Play shows.
- UK prices and fees from each vendor's UK page the same day. Where a vendor only showed dollars we say so rather than print it as a UK price.
- Free plan limits stated because that is where most apps make their money.
- Both platforms. Every app is on iOS and Android unless noted.
- Retired products named, because the lists people copy still recommend them.

On Android, SumUp needs Android 11 or higher with NFC, Square has offered it in the UK since April 2023 at no extra cost, and the former Zettle app had it first.

Payments and the bank
SumUp is the no-contract default, 1.69% pay as you go and 0.99% on UK consumer cards if you pay £19 a month for Payments Plus, with Tap to Pay on both platforms and no reader needed. PayPal POS, the renamed Zettle, charges 1.75% with no monthly fee and a reader from £29; owners searching for "Zettle Go" will not find it, and its Android app is rated 3.3. Square is 1.75% in person on a free plan with Tap to Pay at no extra cost and a strong till, with keyed-in cards and invoices at 2.5%. Stripe's Dashboard app is for a business that already takes payments online at 1.5% plus 20p; it refunds and invoices from the phone but is not a point of sale.
For the account itself, Starling Business has no monthly fee, free invoicing and Tap to Pay at 1.6% inside the same app, with a 4.9 rating from more than 630,000 UK reviews of the shared Starling app. Tide's Lite plan is free with three invoices and five transfers a month, and Smart is £12.49 a month with the Xero connection. Monzo Business exists; its pricing page would not load for us, so it is not in the table.
Invoicing and accounting
FreeAgent is £19 a month excluding VAT for a sole trader and £33 for a limited company, free if you bank with NatWest, RBS, Ulster Bank or Mettle, and its phone app does the receipt, the invoice and the tax estimate. Xero's Ignite plan is £18 a month excluding VAT with 90% off for six months for new UK customers while the offer lasts; the app snaps receipts and approves bills, and setup is easier at a desk. QuickBooks' UK pricing page showed placeholders where prices should be on the day, so it is left out of the table; it offers a 30-day trial. The invoice template guide covers what the invoice itself must say, and the free invoice generator makes one from a phone browser.
Bookings
Calendly's free plan gives one event type and one calendar, which covers "book a 20-minute call"; its paid plans showed in dollars to us and its UK page returned an error, so take the pound price from the checkout. Google Calendar is free and shares the diary with whoever works with you. Fresha is the salon, barber and therapist answer: bookings, reminders and payments at 1.19% plus 20p, £14.95 a month on the Independent plan, with a 20% commission on new clients who find you through its marketplace, once.
Scanning
Adobe Scan has nearly 200,000 UK ratings and does edge detection, OCR and glare removal free, with password protection and exports behind an Acrobat subscription from £14.99 a month. Genius Scan needs no account and makes clean multi-page PDFs free, with encryption and searchable text in a paid tier from £1.99 on the App Store. Microsoft Lens, still in most lists, was retired: removed from the stores on 9 February 2026 and unable to scan after 9 March; the scanner now lives inside the OneDrive app, where scans save to OneDrive rather than the phone.
QR codes and links
Jobbit's free QR code tool makes codes for a link, a phone number, a vCard or Wi-Fi as PNG or SVG, encoding the address directly so the code never expires and nothing is tracked; it needs an account and is free to try. Linktree's free plan gives unlimited links on one page, with paid plans priced in local currency at checkout. The QR tracking guide explains the UTM method that replaces a paid dynamic-code subscription.
Notes and voice
Google Keep is free, syncs to the account you already have and takes voice notes. Otter transcribes meetings and voice memos live, with a free tier and Pro at £99.99 a year on the UK App Store. Apple's own Notes and Voice Memos are on every iPhone and have no store listing to rate.
Video on the phone
Teleprompter for Video, 4.8 from 3,336 UK ratings, scrolls the script under the camera so you look at the lens; it is free with optional upgrades, and several rivals score similarly. CapCut cuts vertical video and adds captions free, with Pro at £21.99 a month on the UK listing and a 3.6 rating on Android. Canva, 4.8 from 380,000 UK ratings, makes the poster, the post and the quote layout, free with Pro at £12.99 a month. The AI images and video guide goes through the rest of that workflow.
Messaging customers
WhatsApp Business is free, gives you a business profile, a catalogue and greeting and away messages on a normal number, and has 25 million Google Play ratings. Per-message charges only start if you move to the WhatsApp Business Platform through a provider: Meta has charged per delivered business message since July 2025, with 1,000 free service messages a month per number from 1 October 2026 and marketing messages at roughly four to five pence each in the UK. Google's Business Profile chat, the other "message customers" product in old lists, was switched off on 31 July 2024.
Mileage and signatures
MileIQ logs drives automatically, free for 40 a month and £7.91 a month on the annual Unlimited plan in its UK pricing. Driversnote produces HMRC-style reports, free for 15 trips a month and £10 a month on the UK App Store. The 55p-a-mile allowance from April 2026 makes the log worth more than it was, as the van cost guide sets out. DocuSign is free to sign what others send and needs a paid plan to send; Adobe's free Fill and Sign lives inside Acrobat Reader, whose own Sign app is rated below 2.
What an agent does on the phone instead
- Sends the invoice from a message. "Invoice Dave £480 for the boiler service, due in 14 days" becomes the invoice, the email and the reminder, through Jobbit's automations.
- Confirms the booking and sends the reminder the day before.
- Files the receipt you photograph into the accounting app with the right category.
- Logs the mileage from the calendar and the postcode, in the format HMRC wants.
- Answers the WhatsApp with the price list and the next free slot, and hands you the ones that need a human.
ChatGPT, Claude, Gemini, Microsoft Copilot, Manus and Meta's Muse all have phone apps that answer questions. What they do not do is send the invoice, hold the diary, or bring in a person from the network when the job needs one. That is what Jobbit is for.

Is Microsoft Lens still available?
No. Microsoft retired it: the app came off the App Store and Google Play on 9 February 2026 and stopped scanning on 9 March 2026. The replacement is the scan button inside the OneDrive app, which saves to OneDrive rather than the phone. Adobe Scan and Genius Scan are the free alternatives.
Does WhatsApp Business cost money?
The app is free, including the business profile, catalogue and greeting and away messages. Charges only apply on the WhatsApp Business Platform used through a provider, where Meta has billed per delivered business message since July 2025; from 1 October 2026 each number gets 1,000 free service messages a month, and UK marketing messages cost roughly four to five pence each.
What happened to Google Business Messages?
Google switched off chat in Business Profile on 31 July 2024, with new messages stopping from 1 July 2024. Customers who find you on Google now call, visit the website or message on WhatsApp if you add the link to your profile.
Can an AI agent run my business admin from my phone?
It can turn a message into an invoice and a reminder, confirm bookings, file photographed receipts, log mileage from the calendar and answer WhatsApp enquiries with the price list and the next slot. A Jobbit agent does that with 100 free credits a day and no card, and hands the conversation to a person from the network when it needs one.
