How to Transcribe Audio to Text Free in 2026: 8 Ways That Beat Typing It Up

How to transcribe audio to text free in 2026: eight ways that work on the phone or laptop you already own, the real limits of each free plan, how to get an accurate transcript first time, and what to do with it once you have it.

How to Transcribe Audio to Text Free in 2026: 8 Ways That Beat Typing It Up
Read in:

You have a forty-minute recording: a site meeting, a customer call, an interview, a voice note you made in the van. Typing it up will take most of an afternoon, so it sits on your phone, and the details you recorded it for are slowly forgotten.

You almost certainly own a free tool that will do it in minutes. This guide shows eight ways to transcribe audio to text without paying, what each free plan really allows, and how to turn the transcript into something useful. Limits and prices were checked on 4 October 2026.

Got the transcript and need minutes, an action list and a follow-up email? Paste it into Jobbit and ask for all three: 100 free credits a day, no card, and Go is £7 a month.

How we compared the options

  1. Free means free. We list what you get without a card, and the first thing that makes you pay.
  2. Limits from the maker. Minutes and file limits come from each company's own pricing or help page, such as Microsoft's guide to transcribing your recordings.
  3. Where the audio goes. Some tools work on the device and some send the recording to a server. We say which.
  4. No accuracy scores. Accuracy depends on your recording far more than on the tool, so we explain how to improve it instead of quoting a percentage.

On your phone

iPhone: Voice Memos and Notes

On an iPhone 12 or later with a recent version of iOS, Voice Memos produces a transcript on the device. Open a recording, tap the menu with three dots and choose the transcript. Notes can record and transcribe inside a note. It works in about ten languages, including English, Spanish, French, German, Italian, Portuguese, Japanese, Korean and Chinese, and nothing is sent to a server.

Pixel: Google Recorder

Recorder comes installed on Pixel phones and transcribes as you record, with no internet connection. Speaker labels are off by default: switch them on in the Recorder settings and each voice is marked as Speaker 1, Speaker 2 and so on. Labels need a Pixel 6 or newer and work in English.

Samsung: Voice Recorder

Galaxy phones with Galaxy AI have a transcript button in Voice Recorder that also separates speakers. Samsung processes the recording in the cloud, so think before using it for anything confidential.

On your computer

Word for Microsoft 365

If you pay for Microsoft 365 you already have a transcription tool. In Word on the web or on Windows, the Dictate menu has a Transcribe option that takes a recording or an uploaded file in wav, mp4, m4a or mp3. Microsoft allows 300 minutes of uploads a month and stores the audio in a folder in your OneDrive. The result drops into the document with timestamps and speakers.

Whisper

Whisper is a speech model that OpenAI released as open-source software, and free apps built on it run on an ordinary laptop. The recording never leaves your machine and there is no monthly allowance, which makes it the choice for long or sensitive files. The price is ten minutes of setting up, and a slow computer will take a while.

YouTube captions

Upload the recording as a private video, wait for the automatic captions and copy the transcript. It is slow and clumsy, yet it costs nothing and copes with long files.

Online services

Otter

Otter's free plan gives 300 minutes of transcription a month with a limit of 30 minutes per recording, and it allows three file imports for the life of the account. It is built for live meetings, not for a folder of old recordings. The paid plan was $8.33 a month billed yearly, or $16.99 monthly, when we checked.

Gemini and NotebookLM

Both accept audio files. Upload the recording and ask for a full transcript, then a summary and a list of decisions. This is the quickest route from a recording to something you can send, as long as you are content for the file to go to Google.

If the audio is an online meeting

Zoom, Google Meet and Microsoft Teams can all produce notes, mostly on paid plans. Google says its note taker in Meet comes with Workspace plans from Business Standard upwards and with its paid AI subscriptions, and the organiser must be the one who has it. Zoom's free plan covers only a few meetings a month. If you host meetings every week, check what your current plan includes before you buy anything else.

How to get an accurate transcript first time

  • Put the microphone close. A phone on the table between two people beats a laptop across the room.
  • Kill the background. Engines, extractor fans and cafes ruin transcripts. Thirty seconds spent moving somewhere quieter saves ten minutes of corrections.
  • One voice at a time. Overlapping speech is where every tool fails.
  • Say the names. Start with "this is Sam, with Priya from Carter Electrical, on the fourth of October". The transcript then carries its own label.
  • Spell the odd words. Product codes, street names and surnames are worth spelling aloud once.
  • Check the numbers. Read every price, date and measurement against the audio. Numbers are where mistakes cost money.

Tell people you are recording

Say so at the start and say why: "I am recording this so I can send accurate notes afterwards." It is polite, and a business that records people is handling their personal data, so they have a right to know. If someone objects, take notes by hand. Keep recordings only as long as you need them, and prefer a tool that works on the device for anything sensitive. Our guide to whether AI is safe to use explains the settings that matter.

What to do with the transcript

A transcript is raw material. Nobody wants to read 6,000 words of "um, so, yeah". The value comes from the next step.

  • Minutes. Who was there, what was decided, what is still open.
  • Actions. A list with a name and a date on each line.
  • A follow-up email. Sent the same day, while everyone still agrees. Our AI email writing tips help it sound like you.
  • A quote or a brief. A site visit recording contains every measurement and request the customer made.
  • Content. One good interview can become a blog post, three social posts and a customer story.

How an AI agent helps after the transcript

ChatGPT, Claude, Gemini, Microsoft Copilot, Manus and Meta's Muse can all summarise text you paste in. An agent carries the job through to the end.

  • Turns talk into documents. Minutes, an action list and a follow-up email from one transcript, in your format.
  • Builds the quote. It pulls quantities, sizes and prices out of a site visit and lays them out as a quote.
  • Keeps a record. Each meeting goes into a project, so "what did we agree with the landlord in June" has an answer.
  • Chases the actions. A scheduled task lists what is overdue every Monday.
  • Makes it presentable. A long interview becomes a slide deck or a report; see how in our guide to making a presentation with AI.

Your plan for the next recording

  • Before: check which tool you already own from the table and record a one-minute test.
  • At the start: tell everyone, and say the names and the date aloud.
  • Straight after: create the transcript while you still remember the conversation.
  • Within the hour: correct the names and numbers, then ask for minutes and actions.
  • Same day: send the follow-up email.

Frequently asked questions

What is the best free way to transcribe audio to text?

The one already on your phone. Voice Memos on an iPhone and Recorder on a Pixel are free, work on the device and have no monthly allowance. For files on a computer, Word for Microsoft 365 or a Whisper app are the simplest.

How do I transcribe a voice memo on an iPhone?

Open the recording in Voice Memos, tap the three dots and choose the transcript. You need an iPhone 12 or later and a recent version of iOS, and the language has to be one Apple supports.

Can I transcribe a Zoom or Teams meeting for free?

Partly. Built-in notes are mostly a paid feature, and Zoom's free plan covers only a few meetings a month. A free alternative is to record the meeting audio with permission and use one of the eight methods above.

Is it legal to record a conversation in the UK?

Tell people and say why. A business that records customers or staff is handling personal data and must be open about it. If you plan to share or publish a recording, get clear agreement first. This is general information, not legal advice.

How accurate is AI transcription?

Good on clear audio with one speaker at a time, poor on noisy recordings and overlapping voices. Always check names, numbers and dates against the recording.

Can I transcribe audio to text in other languages?

Yes. Most of these tools handle the major languages, though the phone tools support fewer than the online services. Check the list for your language before an important recording.

How do I turn a transcript into minutes and actions?

Paste it into an agent and ask for decisions, actions with names and dates, and a follow-up email. Try it free on Jobbit with 100 credits a day and no card.
